These terms and conditions apply to all orders given to and accepted by Thomas Brown Discos. In these conditions “you” means the client of the event and “we”, “our” or “us” means Thomas Brown Discos.
1. Booking: 1.1 - Confirmation of your booking will be complete upon the receipt of agreement to our Terms and Conditions.
2. Setting up: 2.1 - Thomas Brown Discos will require access to the venue a minimum of 60 minutes (ideally 90 minutes) before the event starts to setup our equipment and 45 minutes for packing away and vacating the premises. 2.2 - We will require the setup area to be no more than 30 metres away from our parked vehicle. 2.3 - We will require an approximate space of 5 metres wide and 2.5 metres deep. The client should advise of any space constraints in advance of the event. 2.4 - The Client is responsible for ensuring the availability of a suitable and safe electricity supply, which should include two 13A main sockets located within a 5m radius of the setup area. If, at any point, we deem the electricity supply or any other aspect of the event to be unsafe, we reserve the right to refuse to commence or continue the performance after discussing the matter with you. In the event of this happening refunds are not applicable. 2.5 - The client is responsible for sourcing a suitable Wi-Fi connection for our team to use at the event. 2.6 - The Client affirms that they have the right to use the venue for the event's intended purposes, ensuring compliance with all laws and property-related conditions. The Client is responsible for obtaining all necessary licences for the event. 2.7 - If the event is taking place in a marquee or outdoors, the client is required to ensure that the work area is dry, weather-protected, appropriately floored, and equipped with a minimum of two 13A voltage-regulated and earthed electricity supplies located near the setup area. Please note that Thomas Brown Discos will be unable to perform in rainy, snowy and unsuitable conditions. No refunds will be taken if we deem the conditions unsuitable.
3. Parking: 3.1 - Customers must ensure there is adequate parking and easy access for DJs/suppliers to transport their equipment to the event, allowing up to 90 minutes of parking before the event begins. Additionally, parking should be available throughout the event and during the equipment pack-down process, with another allowance of up to 60 minutes. Any extra expenses incurred will be the responsibility of the customer. 3.2 - We will require the setup area to be no more than 30 metres away from our parked vehicle. If there are multiple levels, there should be access to a lift. 3.3 - Parking should be within a maximum 3-minute walk from the event venue. 3.4 - Any parking fines or penalties resulting from non-compliance with the above requirements will be the customer's responsibility. 3.5 -The DJ/supplier reserves the right to cancel their services if the conditions are not deemed suitable. No refunds will be given.
4. Use of our equipment: 4.1 - Our equipment is for the use of Thomas Brown Discos only. 4.2 - We will allow the use of a microphone for speeches. We will not tolerate any bad language or anything that may put our equipment at risk. 4.3 - Unless specifically arranged and booked in advance, karaoke facilities will not be available in any form during the event. 4.4 - We reserve the right to refuse any person's permission to use our equipment.
5. Extending your booking: 5.1 - If you wish to extend your booking during the event, then this will be subject to an additional rate of £50 per half hour. This payment should be paid in cash on the night before we start the extended time frame.
6. Health and Safety: 6.1 - In the rare event of any equipment damage caused by yourself and/or your guests, Thomas Brown Discos shall not be held liable for any such damages. 6.2 - It is the responsibility of the client to cover the costs of replacing our equipment and like-for-like replacements will be expected. 6.3 - Thomas Brown Discos is not liable for the health and safety of the Client and/or your guests. 6.4 - If at any point before or during the event, we perceive a threat to our persons or property, whether through verbal or physical means, we retain the right to suspend or conclude the disco without prior notice. In such a circumstance, refunds will not be provided. Any customer engaging in such behaviour will be barred from making future purchases.
7. Non Attendance: 7.1 - Thomas Brown Discos will make every effort to be present at the event. In the rare situation that Thomas Brown Discos is unable to attend a confirmed booking due to unforeseen circumstances, such as an accident or sudden illness, they will strive to offer a suitable replacement who can provide a similar service to the Client at no extra cost. If finding a replacement is not feasible, the Client will receive a complete refund of all funds paid to Thomas Brown Discos for the Event.
7.2 - Thomas Brown Discos will not be responsible for their non-attendance at a booking if the cause of such non-attendance or delayed arrival is attributed to adverse weather conditions (ie: snow and flooding), road closures, road traffic accidents, vehicle breakdowns, fuel shortages, industrial actions, government restrictions, incorrect booking forms, or other uncontrollable circumstances beyond their influence. No refunds will be taken under these circumstances. 8. Cancellation: 8. 1 - Should you wish to cancel your booking for any reason, this must be in writing either by post or email. We do not accept cancellations by telephone and any cancellation not made in writing will result in us still requiring full payment. The following fees shall be payable by the Client in the event of cancellation:
8.2 - Deposits paid are non-refundable under any circumstance 8.3 - Cancellations occurring over 1 month of the date booked will incur no further fees 8.4 - Cancellations within 2 weeks of the date booked, you will be liable for 50% of the full payment.
9.Payment: 9.1 - Payment MUST be received via BAC (bank transfer) unless otherwise stated by us. 9.2 - The payment method stated on your invoice is FINAL. 9.3 - The client agrees to pay the balance on/by the date and payment method stated on the invoice. 9.4 - Thomas Brown Discos will not attend the event unless payment is received on/by the date stated on your invoice. 10. Marketing: 10.1 - Thomas Brown Discos will take a photograph of their setup before the event starts, no other photographs/marketing material will be taken.
11. Pricing: 11.1 - Upon signing this agreement, you acknowledge that the total price of your event is £150. This price cannot be changed and is final.
12. Event details: 12.1 - Upon signing this agreement, you acknowledge that the event details are correct and cannot be changed unless in writing to ourselves.
